<p style="margin-top: 0; margin-bottom: 7px;">Now that you’ve learned some shortcuts to increase your efficiency when using MS Word<sup style="font-size: 12px; line-height: 0; ">®</sup>, let’s take a quick look at how to protect your documents after you’ve produced them. We’re talking about metadata. If you’re not sure what metadata is, here’s a brief explanation:

<blockquote style="margin-top: 0; margin-bottom: 7px;">
<p style="margin-top: 0; margin-bottom: 7px;"><em>Metadata is included in all electronic files. It includes information such as the name of the file, the author, the company, total editing time, hidden comments, tracked changes, and previous authors. Metadata also might include version dates, revision history, and deleted comments.<sup style="font-size: 12px; line-height: 0; ">1,2</sup></em></p>

<p style="margin-top: 0; margin-bottom: 7px;">In Wisconsin, the lawyer sending a word processing document is responsible for scrubbing metadata. Recipients of these documents are NOT prohibited from searching them for metadata.<sup style="font-size: 12px; line-height: 0; ">3</sup></p>
<p style="margin-top: 0; margin-bottom: 7px;">Converting documents to PDF files before sending them is one of the most common methods for addressing metadata concerns. PDF conversion does not remove all metadata, but it removes some of the most potentially damaging types, such as deleted comments<sup style="font-size: 12px; line-height: 0; ">4</sup>. But, PDF conversion may not be possible when you’re collaborating on a document or complying with mandatory e-filing requirements. In situations like these, it’s important to understand how to scrub metadata from your files.</p>
<p style="margin-top: 0; margin-bottom: 7px;"><strong>Five Steps to Scrubbing Your Document</strong></p>
<p style="margin-top: 0; margin-bottom: 7px;">These five steps apply to several versions of Word including 2010, 2013, and 2016.<sup style="font-size: 12px; line-height: 0; ">5</sup> </p>
<ol style="margin-top: 0; margin-bottom: 7px;">
<li>Open the Word document you wish to inspect. Make a copy of the document by clicking<strong> File > Save As</strong> and then typing a name in the <strong>File name</strong> box. Making a copy is a good idea, because once you remove the data, you may not be able to restore it for your own purposes. </li><li>Next, in the copied document, open the <strong>Document Inspector</strong> by clicking the <strong>File</strong> tab, and then clicking<strong> Info > Check for Issues > Inspect Document.</strong> </li><li>The <strong>Document Inspector</strong> dialog box will open, and you can select the check boxes for the types of hidden content you want to locate. After doing so, click <strong>Inspect</strong>. </li><li>You can now review the results of the inspection within the <strong>Document Inspector</strong> dialog box. </li><li>Remove the content by clicking <strong>Remove All </strong>next to the inspection results.</li></ol>
<p style="margin-top: 0; margin-bottom: 7px;">This process works very well for stripping metadata before sharing a document.</p><p style="margin-top: 0; margin-bottom: 7px;">It’s also possible to remove metadata from your document every time you save it. <p style="margin-top: 0; margin-bottom: 7px;">Goldstein’s publications on political advertising, voter turnout, survey methodology, presidential elections, and news coverage have appeared in top-line political science journals and major university presses as well as in refereed law and medical journals.
</p><p style="margin-top: 0; margin-bottom: 7px;">He is currently professor of politics at the University of San Francisco and Faculty Director of the USF in DC program. He also teaches in USF's Masters' Program in Public Affairs, which focuses on the skills needed to run a modern political campaign.</p>
