Administrative Coordinator

The State Bar of Wisconsin is currently seeking an Administrative Coordinator to support the Administration & Finance department’s management team. The individual must demonstrate considerable confidentiality and discretion regarding organizational information and be exceptionally well organized.

Responsibilities include:

  • Assist the Assistant Executive Director with the timely production of communications, marketing, research, and other elements of the organization's strategic and operational plans
  • Develop and maintain tracking systems to ensure timely delivery and receipt of reports and other documents critical to the administration of the organization
  • Coordinate the department calendar, schedule meetings, prepare agendas and presentations, take/transcribe minutes
  • Assist with Human Resources functions; process payroll, maintain the HR database and applicant tracking logs
  • Track vendor contracts for timely renewals and cancellations
  • Review and approve vendor invoices and reimbursement requests

Qualified candidates will possess a bachelor’s degree or equivalent combination of education and experience along with 3 years related job experience, proficiency in MSOffice with above-average Excel skills, project management skills and proven ability to prioritize work and meet deadlines with a desire to provide excellent customer service to internal and external customers. Previous experience processing payroll desirable.

Desktop Support Analyst

We are in search of an IT professional to provide end-user support and maintenance, ensuring proper desktop computer operation through the delivery of high-quality services and solutions. Key responsibilities include:

  • Install and maintain desktop computers and related equipment, including desktop imaging and updates of images
  • Perform setup, configuration and maintenance to support staff adds, moves, and changes including related network, communication, phone and security configurations, logins, permissions, email accounts, voicemail, etc.
  • Plan, test, schedule, and perform software installations and upgrades including patches, hot-fixes, service packs, and other updates for State Bar systems
  • Deliver efficient help desk services; provide first line resolution and follow-up; build rapport with and elicit problem details from help desk customers
  • Record, track, and document help desk requests, including decisions made and actions taken through final resolution
  • Develop, promote, maintain, and document standard operating procedures for hardware builds, operating system installation standards and system configurations
  • Conduct routine hardware and software audits to ensure compliance with established standards, policies, licensing, and configuration guidelines

Ideal candidates will possess a 2-year computer science degree or equivalent work experience along with a minimum of 2 years' work experience in a Windows environment, along with the following skills:

  • Knowledge of MS Windows operating systems and networking to include TCP/IP, SMTP, FTP protocols
  • Excellent technical knowledge of PC and desktop hardware
  • Strong troubleshooting skills
  • Advanced knowledge of MSOffice software, email and internet systems
  • Good documentation and writing skills
  • Strong interpersonal skills with a customer service orientation

Receptionist

We are seeking an energetic professional to provide friendly and professional assistance to members and guests who visit our site, ensuring a welcoming experience. In addition to representing the State Bar at the front desk, this position is responsible for reserving internal meeting rooms, ordering catering, providing beverages in meeting rooms, and general administrative support for various departments.
