<p style="margin-bottom: 10px;">Does the thought of another meeting have your team rolling their eyes and groaning? Believe it or not, meetings CAN be a valuable and productive part of your day – if you take a few simple steps to make them that way. On Forbes.com, Neal Hartman, a senior lecturer in managerial communication at MIT Sloan School of Management suggests these tactics for more efficient, effective meetings.<sup style="font-size: 12px; line-height: 0; ">1</sup> </p>
<p style="margin-top: 0; margin-bottom: 10px;"><strong>Create a clear agenda.</strong> Even before scheduling a meeting, spend time clarifying your objectives. What do you want the results of the meeting to be? Which topics need to be discussed and decided on? A well-prepared agenda keeps meetings moving.</p><p style="margin-top: 0; margin-bottom: 10px;">
<strong>Invite the right people.</strong> Only the people who are directly impacted by the meeting’s agenda or who can provide important information on the topics being discussed should be invited. When people feel they don’t belong in a meeting, they’ll become bored and resentful of the wasted time.</p><p style="margin-top: 0; margin-bottom: 10px;">
<strong>Just say no to tech.</strong> Smartphones, iPads, and other tech are the ultimate distractions. If you don’t want people emailing or surfing the web during the meeting, request that they leave phones and tablets at their desks.</p><p style="margin-top: 0; margin-bottom: 10px;">
<strong>Take on tardiness.</strong> Set the expectation that your meeting will start and end on time – then stick to it by calling the meeting to order at the scheduled start time. By beginning your meeting on schedule, you show the people attending that you respect their valuable time. Also, avoid scheduling meetings for longer than an hour.</p><p style="margin-top: 0; margin-bottom: 10px;">
<strong>Beware the long-winded contributor.</strong> Is someone monopolizing the meeting? Step in with a comment like, “We appreciate your contributions, but now we need input from others before making a decision.” Stopping a vocal attendee early on keeps the meeting on track and sets ground rules for the rest of the group.</p><p style="margin-top: 0; margin-bottom: 10px;">
